Take in requests from clients
Turn requests sent through your public intake form into projects, or add their files to work you already have.
Your workspace can have a public request form that clients use without an account. Every request they send lands in the Inbox, where the creative team decides what to do with it. An admin turns the form on under Administration → Organization — see Set up your intake form.
What a request contains
- The client's name and email, so you can reply.
- A project name, a deadline, and a description of the work.
- Up to ten files: PowerPoint decks, PDFs, images (PNG, JPEG, WebP, GIF) or video (MP4, WebM), each up to 100 MB.
When a request arrives, every admin and creative team member receives an email with a link to it, and the client receives a confirmation.
Open the Inbox
Select Inbox in the sidebar. The count beside it is the number of requests nobody has handled yet. Reviewers do not see the Inbox.
Requests are split into two tabs:
- New — waiting for a decision.
- Handled — accepted into a project, or dismissed. They stay here so the trail is visible.
Select a request to read it in full and open its files.
Turn a request into a new project
- Open the request.
- Select Create project.
Brightproof creates a project with the request's name, description and deadline, and copies each attached file into it as a new asset. The project and its assets are yours to review, share and manage like any other. The request moves to Handled and links to the project.
If a file could not be copied, the request says which one. Fix the cause and select Retry the remaining files; the project and the files that succeeded are left as they are.
Add a request to an existing project
- Open the request.
- Select Add to existing project, choose an active project, and confirm.
The request's files are copied into that project as new assets. The request itself is marked accepted and links to the project.
Dismiss a request
Select Dismiss to close a request without creating anything. It moves to Handled; the client is not told. A dismissed request cannot be accepted later — ask the client to send it again if that changes.
Good to know
- Accepting a request twice never creates a second project; the second attempt resumes the first.
- The files a client sent stay attached to the request for reference, even after they are copied into a project.
- In an archived workspace the Inbox is read-only.
