Set up your intake form

Turn on the public request form, protect it with a password, and put your own logo and colours on it.

The intake form is a public page where clients send your team work requests without needing a Brightproof account. It is off until an admin turns it on. Requests arrive in the Inbox.

Everything here lives under Administration → Organization.

The form's address is …/intake/ followed by your workspace's organization code, which is the short name in your workspace's web address. Copy the link from the Public request link card and give it to clients.

Clients who reach …/intake without a code are asked for one and taken to your form. The code page reveals nothing about other organizations.

Turn the form on or off

Use the switch on the Intake form card. While the form is off, the link shows "not found" — nothing about your workspace is visible, and nothing already in the Inbox is affected.

The form is also unavailable while the workspace is archived.

Protect it with a password

Anyone who has the link can use the form while it is on. To limit that, set a password on the Password card and share it with your clients. Visitors enter it once, and the browser they used stays through the gate for twelve hours.

  • Change replaces the password. Every visitor has to enter the new one.
  • Remove clears it, so the link alone is enough again.

Passwords are stored hashed; Brightproof cannot show you the current one, only whether one is set.

Put your own logo on the form

On the Logo card, choose a square PNG, JPEG or WebP under 1 MB and select Save logo. It replaces the Brightproof mark at the top of the form and also appears beside your workspace's name in the app. A small "Powered by Brightproof" line stays at the foot of the form.

Colour the send button

On the Button colour card, enter a colour for the button and one for its text as six-digit hex values (for example #1d4ed8 and #ffffff), or pick them with the swatches. The preview shows the result before you save. Leave both blank to use the Brightproof yellow.

Choose a text colour that reads clearly on the button colour; Brightproof does not check the contrast for you.

What the form asks for

Every workspace's form asks the same questions: the client's name and email, a project name, a deadline (today or later), a description, and optional files. Only files your team can put under review are accepted — decks, PDFs, images and video, ten at most, 100 MB each.

Abuse protection

The form limits how many attempts a visitor can make at the password, how many files they can start uploading and how many requests they can send in a fifteen-minute window, and every uploaded file is checked against its declared type before it is recorded.
